Case Study

Patient Navigation Conference Series
2010 - 2015

Problem and Strategic Goals: In the fall of 2009, The Women’s Health Network and the Men’s Health Partnership’s Care Coordination Program of the Massachusetts Department of Public Health, in partnership with the US Department of Health and Human Services Office on Women’s Health Region I, wanted to design an event that combined keynote speakers, networking, resource and poster sessions, and breakout sessions to offer interactive skills-based learning to Patient Navigators and Community Health Workers.  The first conference was held in the spring of 2010.  Its success lead to subsequent events through 2015.

While Community Health Workers and others in the public health community continue their efforts to create policies and infrastructure for community health worker training and certification, there is an immediate need for professional development and networking opportunities for this segment of the workforce.  This conference addresses this need and provides Continuing Education Units for nurses, social workers, case managers, and certified health education specialists.

Event Planning: RVA staff worked with the conference planning committee  to provide all support services for this event, including: program concept and development, site selection, all printed and web materials (conference website, Save the Date and registration email,  conference program), web registration, and site logistics.  RVA made all arrangements for speakers (travel and lodging, honoraria and reimbursement) as well as coordinating all of the outside vendors (catering, audio/visual, printing).

Conference: The events feature morning and lunch plenary sessions, along with up to 12 morning and afternoon breakout sessions.  Participants pre-register for the breakout sessions through the conference website, which includes waiting lists for the popular sessions.  RVA provides all on-site coordination and staffing for the event, including: registration, audio visual coordination, and staff for each breakout session.

Evaluation and Results: In collaboration with the client, RVA helps develop an evaluation form that is distributed to all conference attendees. RVA uses the results to shape and strengthen future events with the client.

Based on comments received at the event itself and the response in the evaluations, it is apparent that the conference has been a major success and achieved the goals of the conference sponsors.  The conference series provides practical skills, tolls and resources for patient navigators and their interdisciplinary team members.
